1.    Data collection

To enable a full use of BNP Paribas Asset Management HR Portal and associated services, we, BNP Paribas Asset Management, as the Data Controller, need to collect all following information:

2.    Purposes

Your personal data are used for the following purposes:

• To complete the BNP Paribas Group onboarding process
• To feed BNP Paribas Group HR referential for HR administration purpose

We process your personal data:

• To perform your employment contract
• To comply with legal and regulatory obligations to which we are subject to (contract management, right to access personal data (GDPR)),
• For the legitimate interest of BNP Paribas Group:
  • gather BNP Paribas Group employee information required for onboarding process,
  • provide a personal data self-service to each employee of BNP Paribas Asset Management

3.    Personal data recipients

In order to perform the aforementioned purposes, we might possibly communicate your personal data to:

• InfoBIP (IT supplier of the authentication solution)

Data are hosted in Belgium which is deemed to offer a sufficient level of data protection by the European Commission.

Data are transferred (for consultation only) to BNPP AM entities in the European Economic Area (EEA) and the following entities out of EEA: China, Hong Kong, Japan, Australia, Singapore, India, Taiwan, Indonesia, United States, Argentina and Mexico for which the following safeguards have been taken to ensure a sufficient level of data protection: BCR.

4.    Personal data retention period

Your personal data will be retained for the legal retention period in force in the countries in which you will execute your contract, time required for the purpose for which the data was collected.

5.    Your rights

In accordance with all applicable rules, you are entitled to exercise any of the rights listed on the Employee’s personal data protection notice. I give my consent to BNP PARIBAS ASSET MANAGEMENT (“BNPP AM”) and its global affiliates within the BNP Paribas Asset Management Group (“Affiliates”) to use my personal mobile phone number for the purpose of enabling the two factor authentication when connecting to the HR Portal, by sending me a message with a code to confirm my identity (the “Purpose”).

In this context, I herewith consent to:

• BNPP AM and its Affiliates to use my personal mobile phone number for this Purpose;
• The sharing of this information with “InfoBIP”, IT supplier of the authentication solution.

I acknowledge that the use by BNPP AM and the Affiliates of the personal mobile phone number is not in breach of my rights under the General Data Protection Regulation (“GDPR”), and understand that I have the right to withdraw my consent at any time by writing to Global HR at am.employeedataprotection@bnpparibas.com. The consent withdrawal may, however, impact the access to the HR Portal.
